The Department of Surgery is comprised of 13 divisions including general, cardiac, plastic, and orthopedic surgery, and offers programs in undergraduate, graduate, and postgraduate studies. The department also includes many research groups who contribute to cutting edge advancements in areas such as transplantation, joint preservation and regeneration, and surgical simulation technology. Since being founded in 1922, the department has been a leader in its field, always striving to achieve a balance between technology and the human element that defines the art of surgery. The overarching mission of the department and its divisions is to restore health through surgical intervention, remembering patient dignity and comfort are integral to overall health. Reporting to the Assistant Chair, Administration, the Finance & Human Resources Assistant will be a key member of the Department of Surgery¡¯s administration team. This collaborative role will assist in supporting approximately 90 faculty members, 200 clinical faculty members, and 85 support staff, as well as a number of clinical and postdoctoral fellows. The successful candidate will be responsible for facilitating the effective and efficient flow of transactional duties, as well as contributing to process improvements and initiatives. This busy role is an exciting opportunity to gain experience in a wide variety of finance, human resources, and administrative areas in a dynamic environment.

Duties

  • Reviews expense claims for completeness, sufficient supporting documentation, and compliance with UAPPOL policies
  • Completes reconciliation of operating accounts and escalates issues to Finance Coordinator as needed
  • Runs and distributes financial reports to department contacts
  • Completes forms for Fellows to obtain Practice Identification Number and establish business arrangement with Alberta Health
  • Reconciles salary details against financial commitments in PeopleSoft
  • Processes and documents employee salary and benefit adjustments as directed
  • Creates eForms for various employment transactions such as Clinical Faculty renewals, appointment extensions, and combo code changes
  • Responds to employee inquiries, provides contacts and resources, and escalates issues to HR Coordinator as needed
  • Drafts correspondence such as employment verification letters as requested
  • Payroll auditing and reconciliation as required
  • Files hard copy and electronic documents; maintains and improves filing systems
  • Assists with drafting process documents and departmental procedure manuals
  • Disseminates information regarding new processes and procedures as directed
  • Other ad hoc project work as required

Qualifications

  • Minimum High School Diploma supplemented with a post secondary certificate or diploma in Accounting, Business Administration, or a related field
  • Minimum 2 years of related finance and business administration experience
  • Experience with accounting and/or human resource processes and concepts will be considered a strong asset
  • Proficiency with MS Office Suite including advanced skills in Excel; experience with PeopleSoft will be considered an asset
  • Experience with University of Alberta policies and processes and employment legislation (FOIPP, Employment Standards) will be considered an asset
  • Excellent interpersonal and communication (oral and written) skills including strong ability to demonstrate professionalism, confidentiality, and diplomacy
  • Strong organization, accuracy, and attention to detail
