The Executive Assistant, reporting directly to the Administrative Team Lead, Individual Giving with the Office of Advancement, Individual Giving unit is required to provide comprehensive administrative support to the unit members with minimum supervision. This position works independently and collaboratively, requiring excellent judgment, common sense and an ability to work under very challenging time constraints due to the many and varied priorities within the Office of Individual Giving.

Duties

  • Provides day to day administrative support to Individual Giving unit members, as determined by the Administrative Team Lead
  • Works collegially with other members of the Office of Advancement Executive Assistants, providing backup support as determined by the Administrative Team Lead
  • Assists in managing the calendars of the Management Team and other members of Individual Giving as needed
  • Supports the development of materials for prospect meetings
  • Composes, types and edits correspondence, schedules, reports, contact reports and confidential material
  • Oversees incoming mail, faxes, courier packages, etc.
  • Responsible for developing and maintaining a well-organized filing system of hard and soft copies of Scheduled Personal Visit (PSV) related files that permits easy reference and rapid retrieval of information in accordance with FOIPP and University policies
  • Arranges meetings and is responsible for room location, catering, agenda distribution, minutes, etc.
  • Acts as either a primary or secondary point of contact for telephone inquiries, redirects/intercepts calls as appropriate; takes messages as necessary and elicits pertinent information to allow timely and accurate responses
  • Works collegially with other members of the Office of Advancement administrative assistants, providing backup support as needed
  • Performs basic data entry in database of prospects, donors and alumni, as needed
  • Uses the Advance database to access and provide reports on prospects, donors and submits ¡°Requests for Information¡± (RFI) as necessary
  • Makes travel arrangements such as booking flights, hotel and car reservations
  • Researches and prepares travel briefing documents and itineraries
  • Completes travel and expense forms for staff as directed and as necessary in accordance with UAPPOL
  • Monitors, receives and submits invoices for payment

Qualifications

  • High school diploma supplemented by an administrative certificate; post-secondary diploma or degree preferred
  • 3-5 years of progressive administrative experience
  • Proficiency with MS Office suite of programs, Google mail and Google Documents
  • Excellent organizational, interpersonal, and communication (verbal and written)?skills
  • Ability to work independently and within a team environment
  • Ability to prioritize conflicting tasks with tight timelines in a fast-paced environment
